Program Support Assistant (OA)

Aids the MFH Program Coordinator in completing program developmental phases, monitoring, and daily work-flow through extensive knowledge and understanding of the organization, regulations, methods, and other tools or resources of management. The MFH PSA position is vital to the overall operation of the program, assists the MFH Coordinator in all facets of the program and oversees the program office in the absence of the MFH Coordinator. Responsible for receiving newly referred Veterans in the program and assisting with the flow of information to the MFH Program Coordinator, HBPC Program Manager and staff. Supports all the administrative functions of the MFH and HBPC Programs. Specific duties include, but are not limited to, the following:
Administratively supports all program staff; assist with coordination of the MFH program offices where Veterans, MFH caregivers and potential caregivers seek information and education; coordinates and collects necessary data for the programs, monitors consults, admissions and discharges, encounter errors and VERA information. Works collaboratively with Non-Institutional Care, Logistics, FSS, Fire and safety and other departments throughout the EPVAHCS. Assists in the preparation of all program reports; assists in tracking MFH application processes, inspections and credentialing needs of MFH's on program and applying for program; maintains databases; assists in maintaining available resources and makes recommendations regarding needs and distribution of resources; coordinates correspondence for the MFH and HBPC programs; maintains time and attendance records for the HBPC and MFH program staff; assists with coordinating scheduling of Veterans appointments, caregiver trainings, initial and annual inspections by staff and case management activities for MFH coordinator; and assists in the daily operation of the HBPC and MFH programs. Serves as the service level advocate for MFH program to assist in resolving patient issues and concerns at the lowest possible level. Successfully manages multiple timelines and projects, and other administrative duties at the discretion of the MFH Program coordinator or HBPC Program Manager. Provides a complete range of program support which includes direct customer service and coordination; these may include eligibility and enrollment procedures, coordination with medical/psychiatric teams for clinical services; making appointments for MFH and HBPC program staff. Performs work involving the collection, compilation and/or tracking of data and statistical information in support of the MFH's program operation. Assists in the planning, review, and reporting of data/statistical results of the program. Establishes and organizes computerized data sets, and retrieves computerized data. Performs a basic analysis of the data and generates a variety of reports. Identifies initiates and organizes process for data collection for the program. Reviews documents and reports, and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Maintains automated system of program-specific data to track and works with MFH Program Coordinator to implement a plan of action based on the data. Prepares, executes, and tracks program specific information, such as application process, required documentation for caregivers, expiring licensures for caregivers and MFH's, daily census, admissions/discharges, all material relating to any hearing and decision, GSA vehicle usage and maintenance, resource usage, MFH Program requests/reports and suspense's. Reviews all applicant information and conducts initial in-home walk through inspections and reports findings to MFH Program coordinator and recommends appropriateness of homes for MFH program. The PSA tracks application process and monitors to ensure that all disciplines are performing inspections within the time frame set by the VHA MFH directives. Assists in preparing and conducting program surveys and assists in analyzing trends based on expressed needs of veterans and stakeholders. Assists in tracking the subject matter of the training provided to MFH caregivers to facilitate curricula development for future trainings as well as attendance of caregivers present at trainings. Assumes responsibility for preparation of reports, memorandums and outgoing correspondence concerning MFH program. Conducts ongoing outreach activities in the community to promote the MFH program and recruit MFH homes and caregivers and build positive relationships with community agencies in the interest of expanding the MFH program. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
use of computer software programs equivalent to Microsoft Excel, Outlook, and Word processing, etc., to prepare reports and correspondence, to establish, maintain, and manipulate databases, spreadsheets, track initiatives, utilize Email and maintain calendars and schedules. OR, Education:
Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education beyond high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience (TRANSCRIPT REQUIRED) This is an OA position, you are required to type at least 40 words or more per minute.
